General Summary

The Administrative Assistant performs a variety of clerical tasks including filing, and typing. The incumbent also performs data entry, picks up and delivers documents, and drives a vehicle in order to run office-related errands.

DISTINGUISHING FEATURES OF THE CLASS:
This position performs simple and routine work under general supervision and according to pre-defined guidelines.

Essential Functions

  • Locates files for court;
  • Retrieves and delivers documents and files to various locations;
  • Maintains files;
  • Files documents with the Court;
  • Enters data into forms, spreadsheets, and databases;
  • Prepares files for scanning;
  • Scans paperwork and files into a case management system.

ADDITIONAL FUNCTIONS:
  • Operates a central telephone console to receive and route calls;
  • Drives vehicle to run office-related errands;
  • Performs related functions as required.

Job Requirements

  • High school diploma or equivalent;
  • Knowledge of English grammar, spelling and punctuation;
  • Knowledge of modern office equipment, practices, and procedures;
  • Knowledge of cross-indexed filing systems;
  • Skill typing from clear copy or rough draft at a rate of 50 words per minute with a high degree of accuracy;
  • Skill in operating a computer terminal or personal computer;
  • Skill in organizing work;
  • Skill in maintaining records and preparing reports;
  • Ability to follow written and verbal instructions;
  • Ability to make minor decisions in accordance with laws, ordinances, regulations and established policies;
  • Ability to exercise tact and courtesy;
  • Ability to communicate clearly verbally and in writing;
  • Ability to work under pressure;
  • Ability to safely operate a motor vehicle;
  • Able to maintain effective working relationships.

OTHER REQUIREMENTS:
  • Ability to learn the function and mission of various parts of the Prosecuting Attorney's Office;
  • Ability to work closely with law enforcement and court personnel;
  • The incumbent is subject to a criminal records check and fingerprinting;
  • Adherence to the Code of Ethics for legal professionals is expected;
  • Must possess and maintain a valid driver's license;
  • Must have access to a motor vehicle on a daily basis.

Work Environment & Physical Demands

  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • Requires sitting at a desk for periods of time, standing for long periods of time-up to 8 hours;
  • Requires the use of step stools and ladders;
  • May be required to lift up to 30 lbs.;
  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
