Executive Assistant / Office Coordinator


Location: Austin, Texas


Job Description:

Currently seeking an Executive Assistant and Office Coordinator to support our Account Executive and team in Austin, Texas. This indivudal will coordinate all the logistics and details for onsite events. Coordinate the Account Executive's schedule as well as work with cleint leadership to coordinate meetings and events. The indvidual will support a number of small on-site projects and coordinate the needed resources as need be.


Core Responsibilities:

  • Staff On-Boarding/Off-Boarding
  • Manage Background Check and Clearance Processes
  • Manage Facility Logistics
  • Work with team to ensure necessary scheduling is managed
  • Account Scheduler of Conference Rooms, Facilities and Staff
  • Ensure orders/supplies needed for Account
  • Coordinate Document Governance with Customer
  • Work with incoming vendors, accept deliveries and communicate out to recipients for pick-up
  • Retrieves and files forms and records as needed to maintain file system and retrieves records, studies and documents
  • Indexes documents to appropriate document type within imaging system
  • Performs quantity and quality checks on scanned information as part of quality index function
  • Handles incoming calls and emails
  • Storage runs, purges and organization of Central Record Storage, potentially requiring use of personal vehicle
  • May serve as an information resource by responding to requests for general information received via phone, fax or in person
  • Ability to apply Commission requirements, regulations, state/government staff rules and regulations, and department procedures and identify deficiencies that could jeopardize legal and/or financial status.
  • May perform other duties as necessary to meet company and department objectives


Minimum Qualifications:

  • Associate degree plus related work experaince or Bachelors degree.
  • Demonstarted process orientation
  • Experiance coordinating scheudled and events
  • Strong communication skills
  • Experaince problem solving with limited guidance and instruction,
