Position Overview

Provide administrative support for Flight Division including managing website content, performing online research, and drafting of memoranda to pilots and management. Assist with the implementation and administration of programs, services and systems to support recruiting, onboarding and retaining the best pilots for Hawaiian Airlines. The Specialist, Flight Division reports to the Manager, Flight Administration.

Key Responsibilities

  • Manage Flight Division’s employee website and content which support the dissemination of policies and procedures across the division, and includes providing first level of system support to users; work with IT and other departments to facilitate implementation of software upgrades
  • Manage content of Flight Division Administration Manual
  • Create and publish Flight Division newsletter
  • Manage Passports and international Visa applications and records for crews
  • Support Flight Division recruitment efforts, including: applicant screening process, arrange travel and testing, coordination of onsite interviews, and the development and administration of the applicant matrix.
  • Assist with administration of pilot applicant testing
  • Coordinate travel and hotel accommodations for initial pilot training and reconcile expenses associated with pilot hiring and training
  • Coordinate Flight Operations pilot onboarding and ensure new pilots have access to the appropriate resources and equipment
  • Assist with coordinating Hawaiian Airlines’ participation at pilot job/career fairs which includes preparation of meeting materials, and post-meeting communication with potential applicants.
  • Research and analysis of worldwide trends and best practices related to attracting and retaining pilots including flow-through and ab initio programs. Provide recommendations for program improvements.
  • Collect and analyze pilot applicant and hiring data at Hawaiian; prepare reports using collected data to assess hiring trends at Hawaiian
  • Manage replacements of pilot electronic flight bag tablets
  • Assist with implementation and management of pilot attendance control program
  • Assist with implementation and management of Flight Division Team Kokua events
  • Assist with implementation and management of Flight Division employee appreciation events
  • Provide administrative support coverage at the Crew Center or Corporate Headquarters, as needed
  • Other duties as assigned

Minimum Requirements

  • Bachelor’s Degree or equivalent combination of work experience and education.
  • 4 years of administrative or project management experience
  • Excellent oral and written communications skills and ability to interact with a diverse group – executives, managers, flight crews, and subject matter experts
  • Strong computer skills with Microsoft Office (Word, Excel, PowerPoint)
  • Ability to stay current with social media and research industry trends
  • Ability to prioritize and multitask and manage projects to completion
  • Ability to obtain an AOA badge and obtain HNL airport motor vehicle operator’s permit
  • Ability to work a flexible schedule

  • Experience preparing and managing budgets
  • Experience leading and motivating other employees
