Order Processing Agent

Order Processing is the key point person for order entry. The order processing is responsible for all aspects of the order entry process. This includes but is not limited to answering emails, phone calls, entering at once orders, future orders, and pre-books.Order processing is also responsible for transmitting orders to third party credit company (CIT) and communicating with internal teams to ensure all orders are entered correctly and in a timely manner.

Job duties include but are not limited to:

  • Ensure all team members are properly trained on order entry platforms
  • Monitor performance of order processing agents and report challenges to Dept Manager
  • Monitors orders using system reports and communicates progress to leadership.
  • Proactively communicates to resolve discrepancies in up-front data preventing accurate or timely order entry.
  • Answer customer inquiries via phone or email
  • Receive and enter all order submitted via FAX, email, phone, EDI, Joor, and phone
  • Enter new orders in the TAPS (current ERP system)
  • Ensure accuracy when entering new orders in to the system
  • Merge in Orders from Joor (external order platform)
  • Merge in orders submitted via EDI (850) and correct any error codes when merging orders
  • Merge in EDI order changes (860)
  • Perform all allocation and tagging of orders in ERP system
  • Ensure proper allocation of goods to all orders
  • Perform periodic system checks to review tagged orders and FGPO arrivals
  • Notate all order changes in customer portals and in ERP system
  • Communicate any order changes and or discrepancies to Account Manager and Sales team
  • Maintain lines of communication between sales team and sales reps
  • Transmit all orders to credit company for approval (CIT)
  • Generate Order Approval Reports and communicate credit decisions to all departments
  • Run system monitoring reports (conflict report, untagged/unallocated report)

Required Skills

  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Excellent verbal and written communication skills
  • Accurate and precise attention to details

Job Type: Full-time

Salary: $14.00 to $16.00 /hour

  • Data Entry: 3 years (Preferred)
  • Excel: 3 years (Preferred)
  • Order Processing: 3 years (Preferred)
  • ERP: 3 years (Preferred)
