Purpose
To provide administrative and clerical support to school site administrator and assigned personnel; to communicate information regarding school and/or district functions; and to ensure compliance with financial, legal and administrative requirements of assigned functions.
Qualifications
- High School education or equivalent required
- Previous related work experience with public school experience preferred
- Moderate proficiency in typing, with good accuracy; above average test battery
- Computer proficiency to include use of basic software applications (Word, Excel, etc)
- Ability to establish and maintain effective relationships with students, parents, site personnel, district personnel and general public
- Must enjoy working with students, teachers and parents and have an understanding of pupil problems
- Ability to evaluate situations and make decisions in absence of site administrator
- Ability to communicate effectively (verbal and written); maintain confidentiality
- Ability to organize, prioritize, take initiative, direct own workload and meet deadlines while working with frequent interruptions and minimum supervision
- Knowledge of school district policies and procedures beneficial
Essential Duties
- Perform secretarial functions (i.e. typing, filing, recordkeeping, etc) for the purpose of assisting school administrator and assigned personnel
- Respond to inquiries (students, parents, teachers, district personnel, general public, etc) to communicate procedures, information and/or direction and/or to evaluate situations to take appropriate action according to established guidelines
- Compile data from a variety of sources (i.e. timesheets, requisitions, student enrollment, student attendance, cash deposits, etc) and prepare reports ensuring accuracy and compliance with financial, legal and/or administrative requirements
- Compose documents and/or written materials (i.e. correspondence, newsletters, memos, minutes, etc) to communicate and convey information to students, parents, teachers, etc
- Process and/or prepare documents and materials (i.e. PARFs, travel requests, requisitions, timesheets, transcripts, incoming/outgoing mail, etc) to disseminate information in compliance with district, state and/or federal regulations
- Schedule and coordinate activities (i.e. appointments, meetings, calendars, etc) for assigned personnel
- Secure substitute personnel, as needed, to ensure staffing requirements are met for the efficient operation of site activities
- Establish and maintain accurate site files and records in accordance with district, state and/or federal regulations
- Maintain and order supplies and materials ensuring availability; monitor budget expenditures in compliance with district, state and/or federal guidelines
- Regular and on-time attendance required
- Perform other related duties, as assigned, to ensure the efficient and effective functioning of the work unit
Marginal Duties
- May direct or guide other personnel assigned to site
- Assist other personnel as may be required for the purpose of supporting them in the completion of their work activities
