Responsibilities

Working under general supervision, the Benefits Administrator is responsible for a variety of corporate benefit functions including administering and maintaining benefits programs including medical, dental, vision, life and disability insurance. Informs and advises employees on benefits matters regarding eligibility, coverage and provisions. The Benefits Administrator functions as a liaison between vendors and employees. Compiles and maintains benefits records and documentation. Provide excellent customer service and have a working knowledge of benefits, policies and procedures. May assist with special projects within the benefits area.
  • Prepare new hire file folders and benefit packets, Conducts benefits presentations for New Hire Orientation. Responsible for tracking new hire benefit status, collect benefit enrollment forms for companywide new hires, updates HRIS and notifies appropriate carriers. Answers employee benefit related questions, processes qualifying event changes
  • Responsible for weekly and monthly funding of Health Plan claims, HRA, commuter benefits, including review of information for discrepancies, preparing of payment requisitions and communicate cash needs with Sr. Treasury Analyst
  • Responsible for monthly vendor billings including VSP claims funding, Life Lock, Flexible Spending Plan, and FMLA
  • Responsible for preparing benefit related paperwork for terminations
  • Responsible for reviewing and reconciling monthly 401(k), Match and participant loan payments to 401(k) plan trust company for accuracy and timeliness
  • Responsible for creating and reconciling monthly business unit benefit related invoices to BuildingPoint Pacific and Cresco
  • Maintain employee benefit files electronically and in paper format
  • Assists with annual 1095C preparation and review
  • Involved with Open Enrollment process including participating in renewal strategy, employee meetings, maintaining HRIS with cost changes
  • Review and prepare Employment Development Department Work share claims and address employee questions
  • Prepares Union cost per hour benefit calculations
  • Responsible for updating benefit earnings for commissioned employees for Life, LTD and STD benefits
  • Surface potential problems or issues with benefits and escalate to the attention of the Benefits and Compensation Manager
  • Responsible for weekly and monthly funding of Health Plan claims, HRA, commuter benefits
  • Must be confidential at all times. Must have the ability to possess significant confidential information regarding individual’s personal lives
  • Answer questions that the Benefits Hotline is not able to address


OTHER JOB FUNCTIONS

  • Tracks stop loss payments and reimbursements on self-inured PPO plan
  • Assist with Annual Service Award planning and coordination
  • Coordinates flu shot program in San Leandro location
  • Prepares and tracks Education Reimbursement paperwork
  • Maintain punctual, regular and predictable attendance
  • Works collaboratively in a team environment with a spirit of cooperation
  • Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with employees, including the ability to communicate effectively and remain calm and courteous under pressure
  • Respectfully takes direction from manager

Qualifications

EDUCATION and/or EXPERIENCE
Associates Degree in Business, Accounting or related area and three to five years benefits or Human Resources experience and/or training; or equivalent combination of education and experience. Familiarity with COBRA, FMLA laws and ADP HRIS a plus.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals, summary plan descriptions, insurance and disability policies. Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Has advanced basic computer job skills including logging on to systems, ability to communicate by email, ability to compose documents, enter database information, create presentations, download forms, and preserve/ backup important data.
  • Job requires intermediate spreadsheet capabilities including the ability to work with multiple worksheets, filter data and use integrated functions.
