Position Summary/Career Interest

The Payroll Technical Specialist designs and maintains reports in Access and SSRS database software as well as other software reporting tools. Handles import/balancing of hours and schedules from Kronos and Smart Square into Lawson. Develops automated processes to support the payroll staff with better practices to facilitate data accuracy, integrity, and timeliness and increase productivity. Prepares various payroll reports and payments for distribution to departments, governmental agencies, and other outside entities. Performs numerous audits and corrections to both the automated payroll and timekeeping systems to accomplish accurate and timely results. Runs Budget Advisor reports for department management. Provides daily assistance on payroll questions and problems to end users when needed.

Responsibilities

  • Develops and implements automated solutions for payroll processes to facilitate data accuracy, integrity, and timeliness.
  • Designs and runs audit reports in Kronos and Lawson before, during and after payroll processes.
  • Designs, produces and maintains reports for in-house staff and any designated sources such as Executive Office, other departments, state agencies or other outside entities utilizing database software and other tools.
  • Creates and runs multiple reports such as union dues, parking, Ryan White, Marillac, HSBI, salaries, PR260 billing, PR141 deduction (as requested by HR) and outstanding Café deductions.
  • Responsible for data entry and accuracy of authorized payroll adjustments into both Kronos and Lawson resulting in synchronized timekeeping and payroll systems (non-FML). Reviews and calculates extensive Kronos time card corrections.
  • Responsible for manual check processes including upload of positive pay file to the bank and voids/returns posted to the bank and Lawson. Reviews manual checks prepared by other staff for accuracy.
  • Ensures compliance of holiday credit policy by utilizing custom audits and communication with HR and/or departments.
  • Reconciles Departmental Splits and updates as needed.
  • Load Café and Indian Creek dining deductions.
  • Coordinates sign off reporting and emails to/from Kronos time managers.
  • Prepares and runs Budget Advisor reports for all departments on a bi-weekly basis.
  • Prepares and sends email to HR with list of out-of-state and P.O. Box addresses that require updating.
  • Responsible for all aspects of unclaimed property including notification to employee (proactive preferred), replacement check preparation and void of original check (bank and Lawson) when applicable, preparing and filing unclaimed property to the state annually.
  • Responsible for import/balancing of hours from Kronos to Lawson and import of schedules from Smart Square and handling hours for contractors in Kronos.
  • Maintains Kronos timekeeper group in Outlook.
  • Saves bi-weekly Lawson files to Lawprint folder.
  • Provides technical support to Payroll Staff as needed.
  • Provides daily assistance to Managers regarding Kronos and Pay issues.
  • Handles special assignments and other duties as assigned, all within Payroll’s deadlines.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Qualifications

Required:
  • Associate’s Degree in Business or Information Technology. (Equivalent: 4 years of related work experience in IT, human resources and/or payroll or a combination of education and work experience may be considered, if there is demonstrated expertise and intellectual knowledge.)
  • Demonstrated knowledge of report design through use of report writers, spreadsheets, and database software.
  • Minimum 3 years’ payroll experience
Preferred:
  • Demonstrated experience SSRS, SQL, and/or Access database software.
  • Payroll experience in a health-related field.
  • Kronos experience.
  • Lawson experience.
