Summary

We’re looking for a compassionate and thoughtful human resources professional with experience in benefits administration and an ability to manage multiple ongoing projects with an attention to detail and confidentiality. You will be able to energetically dive into overseeing our benefits offerings and lead open enrollment while a member of our team is on leave. The first few months will be focused on training you on our systems and processes before having you assume the responsibilities below.

This is a temporary position with an end date in late January 2020, and this position will be based in our San Francisco office with flexible hours.

We’d like you to do these things:   

Act as first point of contact in administering Wikimedia’s US benefits offerings

  • Respond to staff benefit questions, resolve benefits issues for US employees
  • Provide benefits on and offboarding support working closely with the HR operations team, lead benefits orientation training for US new hires
  • Maintain benefits data on the Namely HRIS and benefits modules: enter new hire data in benefit providers Navia Benefits and Fidelity Investments, administer life events on the Namely benefits platform
  • Administer leaves of absences for US employees and coordinate with payroll and state benefits
  • Manage monthly benefits invoices and billing calculations with our payroll and account payable teams

Lead annual benefit renewals and open enrollment for US employees

  • Partner with our benefit brokers and finance department on insurance renewal negotiations
  • Work with Namely to launch US benefits open enrollment, engage and educate staff on benefit offerings and open enrollment changes with our brokers, monitor participation, audit enrollment data to confirm insurance carrier data and billing is correct with support from our brokers

Support the Wikimedia Foundation staff’s overall wellbeing by maintaining our wellbeing programs

  • Organize wellbeing events to promote work life balance, connection, and a sense of play for distributed global staff
  • Design event communication for internal communication channels
  • Assist with social programs to build connections for remote US employees and international contractors
  • Help process wellness reimbursements with our international PEO and US payroll

We’d like you to have these skills:

  • 2  yrs experience with US benefits administration and compliance
  • Prior experience leading or supporting open enrollment
  • Familiarity with CA regulations and leave of absence administration
  • Ability to maintain confidentiality when dealing with protected health information (PHI)
  • Bachelor's degree or equivalent experience in a related field

And it would be even more awesome if you have this:

  • Ability to quickly learn organizational culture and internal processes
  • Experience with Namely HRIS and benefits systems
  • Event planning experience
  • Design or tech aptitude
  • Comfort with Excel and Google suite
  • Someone who is creative with a great sense of humour
