Summary Description: This position receives inbound Capital Expenditure (CAP EX) Requests, processes and tracks requests and stores supporting documents. Receives inbound paperwork from Maintenance Services Technicians and Vendors and processes the paperwork into system accordingly. This paperwork consists of work orders, purchase orders, invoices, and other documents. Supports Maintenance Services Company (MSC) and Accounting team with daily transactions relating to Director Fund Requests, work orders, purchase orders, and invoices. Provides administrative and clerical support to the MSC Leadership.

RESPONSIBILITIES:
  • Processes Maintenance Services technician work orders for unit assets, purchase orders and other documents according to service level agreements and timeframes.
  • Responsible for preparing and processing Director Fund Requests and CAP EX Requests in system and routes for approval(s).
  • Communicates with Restaurant Team Members, Lead Technicians and Technician to request additional paperwork or information as needed.
  • Orders equipment and materials for the various ongoing jobs/requests in the system as-needed.
  • Answers MSC telephone line and interacts with internal customers to escalate reported issues appropriately.
  • Answers WBTECH telephone line and interacts with Maintenance Services Technicians regarding work orders, purchase orders and other documents.
  • Works with MSC, Supply & System Services, and Accounting Accounts Payable team to research and correct errors with work orders and purchase orders.
  • Follows-up with Maintenance Technicians via phone for work order status updates.
  • Updates and maintains all unit files. (Purchase and Work Orders, Cap and Director Fund Requests).
  • Assists in creation of knowledge transition, process documents for MSC team. Assists in weekly analysis of processed documents and corresponding reporting (survey reporting).
  • Assumes additional responsibilities as assigned.
Qualifications
EDUCATION:
  • High school diploma/GED equivalent or equivalent work experience

EXPERIENCE:
  • Accounting experience preferred
  • No experience necessary
  • Experience in handling multiple administrative task
  • Establish and maintain an effective working relationship with management, vendors and co-workers and foster a team environment

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Demonstrated computer knowledge of Windows Office
  • Demonstrated verbal and written communication experience
  • Demonstrated organizational, time management and problem-solving experience
  • Proficiency in MS Office Word, Excel, Outlook, Power Point and Visio (as applicable)
  • Proficiency in JD Edwards (as applicable)
  • Ability to communicate well with the general public
  • Elementary knowledge of practices and procedures in a particular field of specialization in the execution of assigned duties and responsibilities
  • Elementary understanding of departmental structure and policies of Whataburger Restaurants LLC

WORKING CONDITIONS/TRAVEL REQUIREMENTS:
  • Expected to work the necessary time to satisfactorily fulfill job responsibilities
  • Must be able to report to work timely and as required by operational/business needs
  • Must be able to work a full-time schedule and work outside of normal business hours when necessary
  • Some travel, both locally and long distances, (including air travel), to worksites, meeting sites, and other locations may be necessary
